Software for distribution

Bitzania helps you map orders, stock, and finance, then build custom software around your distribution workflows and business priorities.

When processes drift apart

For distribution business owners and operations teams who need to connect sales, purchasing, warehouses, and finance. You can start with spreadsheets, separate systems, or an older application that no longer fits your needs.

Orders need another check
Sales takes an order, but stock availability, customer pricing, and approvals still need confirmation over chat.
Stock records disagree
Incoming goods, warehouse transfers, and outgoing goods are recorded in different places. The team must confirm which stock figure to use before making a decision.
Invoices lag behind dispatch
Finance waits for warehouse documents to prepare invoices or match payments to the right orders.

From order to payment

An example to discuss together, not a ready-made feature list. We agree on the sequence, rules, and parts to build after understanding your operations.

  1. Sales orders

Map how sales records the customer, items, quantities, prices, and required date. Decide when an order can move to the warehouse.

Who approves special prices or changes to an order?

  2. Purchasing & replenishment

Discuss how order needs and stock levels guide purchase requests to suppliers.

How do you handle unavailable stock and items already on order?

  3. Receiving & warehouse stock

Map how incoming goods are checked, where they are stored, and how stock moves between warehouses. Decide who records each movement.

Are there different units of measure, differences when goods arrive, or special stock rules?

  4. Preparing & dispatching goods

Discuss how to prepare goods, create delivery notes, and record outgoing goods against the orders being fulfilled.

How are partial deliveries, delayed items, and returns recorded?

  5. Invoices & payments

Discuss when invoices are issued and which documents they are based on. Map how finance matches payments and records outstanding balances.

How do you handle partial payments or adjustments after returns?

Choose what to build first

Not every process needs to be built at once. Choose an important problem, trace the data and teams involved, then agree on what the first stage will cover.

  • Processes and users included in the scope
  • Data sources, applications to keep using, and connection needs
  • Rules and unusual cases that need testing
  • Agreed conditions for accepting the completed work

For example, order to dispatch

If the challenge is knowing which orders are ready to ship, discuss order entry, stock records, approvals, and dispatch documents first. We still map purchasing and finance so the boundaries are clear. They are not automatically included in the first stage of development.

Built with your team

Your team explains daily work, reviews designs and demos, and tests results using transactions that represent real conditions. Involve sales, purchasing, warehouse, and finance teams as needed for the agreed work, so each team's needs are considered.

Prepare documents and examples that are safe to share, including cases that do not follow the normal flow. You do not need a finished specification to start.

How to get started

We discuss your needs first, then decide which working arrangement fits. The software is developed to an agreed scope, not sold as a distributor package with fixed features.

Software Consulting

Optional paid work to map workflows, define what the software needs to do, and set priorities before deciding on development.

Practical questions

Is this a ready-made distributor application?

No. Bitzania develops custom software based on the needs discussed and scope agreed. The workflow on this page is a starting point for discussion, not a set of features automatically included.

Can we start with one warehouse or one workflow?

That can be discussed as the first scope. We still need to understand its relationship with other warehouses and teams so data sources, responsibilities, and boundaries are clear.

What about the systems we already use?

We review what your current applications do and which data can be accessed. Connections between systems or data transfers need a technical review and an agreed scope. Neither is automatically included or guaranteed before that review.

What will it cost, and how long will it take?

We discuss cost and timing after understanding your processes, priorities, how complex your rules are, and your team's involvement. Share business deadlines early so we can consider them when agreeing on the scope.

What should we prepare for the first discussion?

Tell us what you distribute, how many warehouses you operate, the systems you use, the most urgent problem, and your timeline. The initial meeting is free and does not require a finished specification.

Start with your workflow

Tell us which part of your operation you want to improve. The initial meeting is free, so we can discuss your needs and the next step together.

Discuss distribution needs
  • Your business and the goods you distribute
  • Number of warehouses and teams involved
  • Current systems and the main challenge
  • Intended start or business deadline
